Privacy Policy
How SOLECOVIA collects, uses, and protects your personal information under Québec's Law 25 and the EU/Belgian GDPR.

1. Data controller

2. What we collect
When you submit our contact form, we collect:
- Your name
- Your email address
- The content of your message
- Technical data needed to deliver and secure the request (IP address, user agent, timestamp)
We do not collect special-category data and do not knowingly collect data from minors.
3. Why we use your data (legal basis)
- To respond to your inquiry — basis: your consent (Law 25, art. 12; GDPR art. 6(1)(a)) and the steps taken at your request prior to entering into a contract (GDPR art. 6(1)(b)).
- To prevent abuse of the form (anti-spam, reCAPTCHA) — basis: our legitimate interest (GDPR art. 6(1)(f)).
- To meet our legal and regulatory obligations — basis: legal obligation (GDPR art. 6(1)(c)).
4. Who has access
Your information is processed by authorized SOLECOVIA staff and by the technical service providers required to operate the website (hosting, email delivery, reCAPTCHA by Google). We do not sell your data and do not use it for advertising.
5. Where your data is stored
Form submissions are stored on servers located in Canada. Some service providers (e.g. Google reCAPTCHA) may process technical data outside of Québec or the European Economic Area. When that happens, we rely on contractual safeguards, including the European Commission's standard contractual clauses where applicable.
6. How long we keep it
Contact-form messages are kept for up to 24 months after our last exchange with you, unless a longer period is required by law (for example, to defend a legal claim) or unless you ask us to delete them sooner.
7. Your rights
Under Law 25 and the GDPR you have the right to:
- Access the personal information we hold about you
- Have it corrected if it is inaccurate or incomplete
- Have it deleted, or its processing restricted
- Withdraw your consent at any time, with no effect on processing already carried out
- Receive your data in a portable format
- Object to processing based on legitimate interests
- Define directives on what happens to your data after your death (Law 25)

8. Privacy officer
In accordance with Law 25, SOLECOVIA has appointed a person responsible for the protection of personal information. You can reach them at privacy@solecovia.com.
9. Cookies
This site uses only the cookies strictly necessary for it to work (session, language preference, security). Google reCAPTCHA may set its own cookies on the contact form to detect automated abuse — see Google's privacy policy for details. We do not use advertising or tracking cookies.

If you believe your rights are not being respected you may file a complaint with the Commission d’accès à l’information du Québec or, in the EU/Belgium, with the Autorité de protection des données.

We may update this policy. The current version, with its effective date, is always available on this page.
